How to Convert File Formats Automatically: A Guide to Streamlining Your Workflow using Make

Whether it’s for personal projects or professional assignments, dealing with multiple file formats is an inevitable part of work. The manual conversion of files from one format to another can be time-consuming and cumbersome.

With the rise of technological advancements, automatic file conversion has become a reality.

Introduction to Automated File Conversion

Automatic file conversion is a process where files are transformed from one format to another without the need for manual intervention. This can be done using software or online services that automatically detect the file input format and convert it to the desired output format based on pre-defined settings or rules.

This process not only saves time but also maintains the integrity and formatting of the original file.

In this guide, we will explore the ease of converting file formats automatically, showcasing three use cases, using Make.

Use Case 1: Convert Excel Files to Google Sheets Seamlessly

Converting Excel files to Google Sheets is a common necessity for users who prefer Google's cloud-based collaboration features. The traditional manual conversion process can lead to formatting issues and wasted time.

With automation tools like Make, you can set up a workflow that automatically uploads Excel files from your computer or cloud storage to Google Drive and converts them into Google Sheets format.

This process ensures a seamless transition, allowing you to access and collaborate on your spreadsheets anywhere, anytime.

In this use case, we have an Excel file with some made-up content in a Google Drive.

Using Google Drive modules in Make, we can transform this into a Google Sheets format where we can perform other automations, like adding rows, etc.

Step-by-Step Process:

  1. Use a Watch module to watch files in a specific folder. If you don’t find it, or you are testing it, you can right-click on the module, select Choose where to start, and select which option you want to use to watch files.

  1. Set up a filter to filter files with.xlsx file extension.

  1. Download the Excel File into Make.

  1. Upload the converted file into the same folder.

Turn on the advanced settings and make sure to select spreadsheets as the output target file after conversion.

Tip: To avoid confusion, remove the .xlsx extension from the converted file. You can do this by replacing the .xlsx extension with an empty string in the File Name.

Use Case 2: Transform a Google Docs Template into a Ready-to-Send HTML Newsletter via Gmail

Email newsletters are a powerful marketing tool. Creating them, however, can be a daunting task, especially when it comes to coding the HTML layout. Imagine starting with a basic Google Docs template and automatically converting it into an HTML newsletter ready to be sent via Gmail.

Make can extract the content from Google Docs, convert it into HTML format, and compose a new email in Gmail with the newsletter content.

This process not only simplifies the creation of newsletters but also ensures consistent formatting and design.

Step-by-Step Process:

  1. Watch the file in a specific folder where the Google Document is located.
  2. Set up a filter to check if the file is a Google Document.

  1. Download the document. Specify the type as HTML.

  1. Put the full data of the downloaded document into HTML for sending.

Use Case 3: Quickly Convert Image Files from One Format to Another

Working with images often requires converting them between different formats, depending on the use case. Automation can easily convert a JPEG image to PNG to add transparency, or convert a RAW file to JPEG for easier sharing.

By setting up a workflow, you can automatically find new images in a folder, change them to the format you want, and save them in a specific place.

This process not only saves time but also ensures your images are ready for use in any context.

Step-by-Step Process:

  1. Watch the file in the specific folder.
  2. Set up a filter to check if the file is a valid image file. You can set up multiple conditions to check for different image formats.

  1. Download the file.

  1. Use CloudConvert to convert the file. This service allows you to upload a file and transform it into anything. You also need to download the file back to your Make scenario.

  1. Upload the converted file back to Google Drive.
