An order comes in. Someone types it into the inventory system. Then into the accounting software. Then into the Excel sheet for reporting. The same data three times, three chances for a typo – on every single order. If that pattern sounds familiar, your business isn't missing new software. It's missing an interface. What that is, when a ready-made solution does the job and when you should have one built – here's the explanation without the tech-speak.
What is an API? The restaurant picture
Picture a restaurant. You don't walk into the kitchen yourself, rummage through the pots and debate with the chef. You tell the waiter what you want. The waiter passes the order on in a form the kitchen understands – and later brings you exactly the dish you ordered.
The waiter is the interface. In software terms, it's called an API – "Application Programming Interface". All you need to remember is this: an API is the regulated route through which one program gives another program instructions and gets results back. Your shop system tells the inventory system: "New order, here's the data." The inventory system replies: "Received, stock adjusted." No human retypes anything, no one forgets anything, no transposed digits slip through.
The important part: both programs stay what they are. The waiter doesn't remodel the kitchen. He just connects two worlds that previously knew nothing about each other.
Why duplicate data entry costs more than it looks
The retyping itself is only the visible part of the cost. The rest hides:
- Errors. Wherever humans transfer data, transfer errors happen – wrong quantity, wrong address, wrong price. Each one costs twice: once when it happens, once when it's cleaned up.
- Delay. The order sits in the inbox until someone has time to enter it. Until then, the stock count is wrong, the customer waits, the process stalls.
- People tied up. Your employees weren't hired to retype data. Every hour of data entry is an hour missing from customers, quotes or real work.

- Excel as a staging area. Data gets exported from system A, "prepared" in a spreadsheet and fed back into system B. The spreadsheet isn't a tool – it's a symptom.
- "I'll enter that later." If data only reaches the system in the evening or on Friday, your business runs on outdated numbers all day.
- Numbers that never match. Stock in the shop and stock in the inventory system tell two different stories – and someone has to "reconcile" them regularly.
- One colleague is the bottleneck. If only one person knows how the data gets from A to B, the process stops the moment they go on vacation.

Most modern programs – ERP, CRM, shop systems, accounting – ship with an API. It's just not being used, because nobody has connected it. And even older systems are rarely completely sealed off: often there are export functions, database access or other routes a connection can dock onto.

Ready-made connectors are the right route when:
- your programs are widespread – the plugs for them already exist,
- the logic is manageable – when A happens, do B, without dozens of special cases,
- the volume is normal – daily workflows, not mass processing by the second.

When you should have a custom interface built
Sometimes the ready-made plugs aren't enough. The typical signals:
- Your system has no connector. Industry-specific solutions, older ERP systems, in-house builds – not every program is in the automation platforms' catalog. Then the plug gets built to fit.
- Your logic is complex. Price tiers, special cases, approval loops, dependencies across several systems – at some point, "clicking it together" becomes a house of cards. Custom code stays maintainable where click-logic turns opaque.
- The volume is high. When very many transactions have to run through reliably, fast and traceably, you need a foundation built for exactly that.
- The process is business-critical. For the workflow your revenue hangs on, you want error handling, logs and control – not hope.
